Creating workspaces

Kronodocworkspaces may only be created by a system administrator or a user who has been assigned to a role that specifically grants them the right to create workspaces as described in Creating, editing, and deleting roles. Workspaces are created from templates that specify the properties, user groups, access control profiles, folder structures, and other initial workspace information.

To create a workspace:

  1. In the Workspaces view, on the ribbon, in the Workspace group, click Create. A page showing the workspace creation options appears.
  2. Click options or type values using the descriptions in the following tables.

Option Description

Template selection

Select a workspace template from the list. The page refreshes to show the options for the selected workspace template. If the page does not refresh, click Use template.

Included items

Select an option from the list to specify the items that you want included in the new workspace.

Option Description

Name

The name of the workspace as you want it to appear to users.

Code

A unique code to identify the workspace.

Type

Select a value from the list to classify the workspace.

Status

Select a value from the list to indicate the initial life cycle state.

Administrator

Type the name of a user to assign as the administrator of the workspace. For more information about the access rights of a workspace administrator, see Understanding user account types.

Created

Automatically generated.

Modified

Automatically generated.

Description

Type a description of the workspace as you want it to appear to users using plain text or HTML.

Icon URL

Address of an image to show with the workspace name in the Workspaces view.

The maximum size of the icon can be 70 X 70 pixels. It can be in any format that the current web browsers support, for example, GIF, JPG, PNG, BMP. The file should be stored in the icons folder. The path to the icon should be relative so that all users can see them in the Workspaces view.

Home page URL

Address of the page that is opened when a user clicks the workspace icon. A workspace may store its documents in a Kronodoc workspace or it can link to another web page, for example, on the local intranet.

Logo URL

Address of an image to show on pages within the workspace.

Start date

Type a date or click Date and select a date from the calendar that appears. The date does not affect Kronodoc functionality.

End date

Type a date or click Date and select a date from the calendar that appears. The date does not affect Kronodoc functionality.

Additional properties

Configure any additional options defined by the workspace template.

  1. Click Create workspace. Kronodoc creates the configuration files for the new workspace using the selected template.
  2. You may now turn over control of the workspace to a workspace administrator who can add users and groups and configure the workspace folder structure, functionality, and user interface settings.

Only users who have access rights to the workspace are able to see it in the Workspaces view.
